			<content:encoded><![CDATA[<p>Public relations is no longer something that just happens; how a company or corporation is perceived in the public eye, particularly in the eye of the company&#8217;s shareholders or potential customers, isn&#8217;t something that&#8217;s left to chance.  Companies have entire departments and large budgets in place to ensure that they will be viewed in a positive light by the public.</p>
<p>&#13;<br />
In its simplest form, the idea of public relations is to get the word out to the public concerning all of the positive things that a company or organization may be involved in, and to enhance the company&#8217;s overall image, while at the same time downplaying anything that could potential be viewed as a negative action in the public eye.</p>
<p>&#13;<br />
Public relations is kind of like advertising&#8217;s less obtrusive brother.  Where advertising&#8217;s main goal is to stick a product in the face of a potential customer and give them every reason to buy it, the public relations approach is a lot less direct.  </p>
<p>&#13;<br />
Public relations will let your target consumer know what else you&#8217;ve got going on besides your product or service &#8211; like what kind of good you are doing in the community and how you plan to help more in the future.  Though it&#8217;s not as bold as advertising, a good public relations department can aid in building profits just as much as advertising.</p>
<p>&#13;<br />
There are any number of ways that a company or organization can positively use public relations to enhance their image in the eye of the public:</p>
<p>&#13;<br />
A company can donate either time or money to a charitable cause or they could hold a charity event to raise money for a particular cause.  Potential customers and share holders want to know if a company cares, and they want to know what it is that the company cares about and supports.</p>
<p>&#13;<br />
Another approach to public relations is to have a company representative speak at an industry conference or seminar.  The speaker can go over with an audience, packed with the very people that the company wants to reach, details of all of the latest activities as well as all of the future plans that will be implemented and what kind of positive impact those plans will have on the industry and the community.  </p>
<p>&#13;<br />
This is kind of like issuing a personal press release, where the company representative can get out the exact message that needs to be distributed to exactly the right people, and can then answer any potential questions that may arise.  A press release is a great tool, but its content is definitive, any questions that arise from a press release will remain until another company statement is made, with a live statement questions can be addressed and answered appropriately right form the start.</p>
<p>&#13;<br />
Though I&#8217;ve just pointed out some of the negatives of a press release, that doesn&#8217;t mean that it&#8217;s not a very effective tool of public relations.  A press release mat not be personal, and it may or may not leave small questions in the minds of some readers, but what it can do is reach a tremendous amount of people giving them a good idea of your mission statement or telling them of a recent award or accomplishment of the company.  </p>
<p>&#13;<br />
A well written press release can reach thousands of thousands of people that wouldn&#8217;t have known of your accomplishment any other way &#8211; and press releases come at a much cheaper price than any form of advertising.  You&#8217;d never be able to reach the same portion of your target audience with public speaking as you would with a high quality press release.</p>
<p>&#13;<br />
A company&#8217;s image can mean everything &#8211; one big negative event, even if it&#8217;s only perceived as a negative event in the public eye, can literally destroy a company.  If a company or organization wants to become successful and stay successful, it has to build up and protect its positive image &#8211; the only way to really do that effectively is through good public relations.</p>

<p>&#13;Go it Alone or Get Support?</p>
<p>&#13;The decision is yours. If you have experience in business, you may be comfortable going to Companies House, downloading the forms and completing the process yourself. If not (like most) then you will need some more help and guidance. There are plenty of companies that offer just companies formation and provide guidance through the whole process.</p>
<p>&#13;How to Choose Your Company Name</p>
<p>&#13;First of all, you will need to choose your name. Be creative and choose a name that both represents your company and will be simple enough for people to remember. For example if you arrange corporate events (and only corporate events) then &#8220;Avenue Corporate Events&#8221; would be a very suitable name, where as if you are a general events (weddings, parties and corporate events etc) provider then &#8220;Avenue Events&#8221; might be a more suitable title</p>
<p>&#13;How to Check Your Company Name</p>
<p>&#13;Ok, so you&#8217;ve chosen &#8220;Avenue Events&#8221; as your name. You now need to check that no-one else currently trades under it, does not contain any sensitive words or names, (http://www.companieshouse.gov.uk/about/gbhtml/gbf2.shtml#appa) and that it is free for you to register. Companies House (http://wck2.companieshouse.gov.uk and a number of other sites) have a free service that you can use to check this.</p>
<p>&#13;OK &#8211; it seems that &#8220;Avenue Events&#8221; is already taken. Good thing we checked! After a few more searches, we find that &#8220;Ardent Events&#8221; is not taken, so let&#8217;s register that name.</p>
<p>&#13;How to Register Your Company</p>
<p>&#13;As you are setting up a limited company, you will need to create some shares. As (we presume) you currently don&#8217;t have any shares, you will own them all. Set up £1000 worth of shares.</p>
<p>&#13;You will also need to set up how many directors (and other types of shareholders) there are (of which you will be one) and how many shares each director/shareholder has. There must be at least one directory and at least one secretary. They cannot be the same person, and at least one must be a shareholder.</p>
<p>&#13;Legal Documents</p>
<p>&#13;Unfortunately, there are a bunch of legal forms that you have to fill out. They are available at Companies House (http://www.companieshouse.gov.uk/forms/formsOnline.shtml ), or as part of a supported application process with help from other company formation providers.</p>
<p>&#13;Now everything is in place; you have your name, your directors, secretaries and shareholders and can pass over your credit card details and can register your new company name.</p>
<p>&#13;All you need to provide to a registration company is your company registration forms and your registered office address. You can send these to Companies House yourself or get an online company formation agent to do this for you who may be able to set up your company for you in less than 4 hours and guide you along the process.</p>
<p>&#13;What now?</p>
<p>&#13;After registering your company, you will need to consider more things than just your name. Where are you going to get your business banking from? Who do you buy your stationery from? How are you going to make money? Will you need a hand with administration from a &#8216;virtual&#8217; secretary or &#8216;receptionist&#8217;? All these things can be vital to the success of your new company, and can be considered in detail now that the fictional &#8220;Ardent Events&#8221; is in business!</p>

Firstly you have to establish your objectives, how many people will be attending and what your budget is. Lets just assume that you&#8217;ve done all this, you know what you want to achieve and you now just want an idea of what the pros and cons are for the different types so you can take it into consideration when arranging your company away day.</p>

Lets look at outdoor events and what you will need to think about. Best time of the year to host an outdoor event is pretty much anytime of year apart from winter. Winter months will work but you need to really have carefully considered which specific activity and its suitability. </p>

The advantage of an outdoor event for your company away day is that well organised and professional events will invigorate and motivate your team. Getting your team out of their four walls and breathing fresh air is leveller between the different ranks, it&#8217;s also a healthy option and if the right event is chosen can endorse a holistic approach to your teams development. </p>

If you are hosting an outdoor event at a venue, remember to see how far away the grounds are, will your teams be able to get to them quickly and easily? If the event is to take place in an adjoining field, are there toilets there, if not how long will it take to get to them? Has the grass been cut in the field? </p>
<p>&#13;<br />
If it has then that&#8217;s great but can the venue guarantee that it will be cut a couple of days before your event, you can&#8217;t be wading around a field with grass up to your knees! Can you have refreshments on the grounds rather than going back to the venue and wasting valuable time? It&#8217;s a common mistake to make when arranging a company away day, many people get so caught up in the event itself that they forget the details and these are pretty important details, we guarantee your team will need to visit the toilet and we guarantee they will need a drink!</p>
<p>&#13;<br />
If your outdoor event is something that potentially means that your teams will either get wet, muddy or sweaty have you got somewhere for them to freshen up afterwards? If you are staying at the venue, then your guests can shower in their rooms but what if you are not, what can you do here, nobody will want to travel home feeling dirty or wet. You have a couple of choices here, you can either book a number of bedrooms for your teams to freshen up in, this happens fairly frequently but it is going to cost you. If your venue has a health club or even just a swimming pool then the likelihood is that they&#8217;ll have changing rooms, ask the venue if you can use them to change in and you&#8217;ll probably find if you are booking your company away day with them they&#8217;ll throw this in free of charge.</p>

Use this guidelines as a starting point, speak to an experienced events company and together you&#8217;ll arrange a fantastic company away day!</p>
